Type of document: Contract Notice
Country: United Kingdom

1. Title: PROCESS AUTOMATION SOFTWARE – EXPORTING OPPORTUNITY
2. Awarding Authority: Secretary of State for Business, Innovation & Skills acting on behalf of UK Trade & Investment (UKTI), GB. Web:
3. Contract type: Supply contract
4. Description: Opportunity type Public Sector
Industry Software & Computer Services
Client is seeking to procure a BPM tool that covers the entire business operational lifecycle.
A business process management (BPM) tool that covers the entire lifecycle, from discovery to monitoring will promote:
efficiency in business operations
continual analysis of business operations to identify areas of improvement that will generate greater efficiency
The tool should have the following attributes.
1. Ability to create process hierarchies with drill down structure which can then be shared across the organisation. An ability to use APQC best practice process libraries to set the foundation.
2. Ability to create consistent and standardised process maps without any expertise using the latest version of Business Process Modelling Notation (BPMN 2.0). 3. An ability to add sub processes and master tasks within process that can be reused across various processes from the library.
4. Ability to capture/create process attributes (RACI, Process Profile, SOP, KPI within in-built repositories. Customisable-define additional attributes at the process and task level.
5. Ability to export process maps for easy sharing even with access to BPM solution (Via link etc..). Intelligent Diagramming, Journey Maps, Process Maps/Swimlane Diagrams/Flowcharts, Org. Chart, Value Chain, Cause and Effect, Fishbone, Hierarchy.
6. Process information and the supporting procedures centrally available, with access from anywhere and anytime. Ability to embed Documents, forms, images and videos in the process.
7. Ability to record every version of the process with the relevant changes and the person who made the changes.
8. Ability to access step-by-step work instructions stored centrally against each associated process.
9. Ability to record process-related issues, root causes and improvement opportunities for each process. Make and view all the comments and attributes and suggest improvements for review and approval.
10. Ability to prioritise processes for improvement.
11. Ability to perform multiple analysis with the click of a button- Value time, Cycle Time, Cost and Efficiency Analysis. Add/view benchmarked/industry data against process data recorded in-house.
12. Ability to simulate processes to understand the impact and benefits of each solution before committing to the change. Process simulation/test when an element changes in a controlled environment (resource, flow, etc.). Compare simulation scenarios to understand the impact of potential changes and further improvements. Calculate cycle times, resources, and costs to get in-depth information on expected process performance and bottlenecks in simulation scenarios.
13. Ability to compare an AS-IS and TO-BE process version to understand the changes made and the benefits realised. Additionally, compare processes from different business areas to identify standardisation opportunities.
14. Ability to manage user access to software and process-Edit, Read, etc..
15. Automatically route the process map, SOPs and relevant information for process owners approval.Workflow automation provides an accurate measure of a process’s true performance, Integration with existing app and source of records.
16. Ability to define KPI details, including the KPI rationale and the performance range against the process.
17. Customisable Reports- generate many customisable reports. Trends using personalised dashboards – Utilising the customisable dashboards, each process owner and executive can view the KPI information most relevant to their overall goals and make decisions to ensure the overall corporate strategy and goals are achieved. Visualise process health, see process maturity by business group or function, direct links to reports provide greater detail.
18. Monitor KPIs from a virtually unlimited size and quantity of data sources. Analyse and monitor performance to uncover process inefficiencies and identify opportunities by leveraging customisable metrics and widgets. Get insight to process and/or problems with snapshot views of process status. Understand work queues and allocate resources accordingly.
19. Ability to track the implementation of improvements. See the percentage completion per improvement and check its status: completed, in progress, etc. 360-degree view of your process landscape (View , download, Track improvement suggestions in the changelog) from documentation to analysis and key metrics.
20. Process intelligence and mining:
a. Connect and extract online and offline data across diverse systems and landscapes- flexible with multiple integration options.
b. Transform raw data into complete event logs in an environment where business, process, and IT can work collaboratively, and create complex data models to gain a holistic view of processes.
c. Identify issues such as long cycle times or bottlenecks as well as the process variants which are affecting your overall performance.
d. Automatically generate new process models from selected variants.
21. Ability to integrate tasks and data from your existing Application. For example ERP, ECM and more for smooth, user-friendly workflows.
5. CPV Code(s): 48000000, 48980000
6. NUTS code(s): UKC, UKD, UKE, UKF, UKG, UKH, UKI, UKJ, UKK, UKL, UKM, UKN
